App Not Detecting Meetings

Common solutions when MuteDeck isn't recognizing your video calls.

Quick Fixes

Try these solutions in order - many issues are resolved by the first few steps:

1. Enable "Always Show Meeting Controls"

The most common issue is hidden meeting controls. There's a setting called Always show meeting controls or Keep meeting controls visible, which needs to be enabled in your meeting app. Without this, MuteDeck detection could be intermittent or not work at all.

In Zoom, it's located under Settings → Meetings & Controls → Keep meeting controls visible.

For other apps:

  • Teams: Settings → General → Application → Show meeting controls
  • Google Meet: Controls are always visible with browser extension
  • Webex: Settings → General → Show meeting controls
  • Older Zoom versions (before 6.0): Settings → General → Always show meeting controls

2. Check App Language Settings

MuteDeck requires specific languages for some apps:

For Google Meet, web-based Zoom, or web-based Teams:

4. Verify macOS Permissions

On macOS, MuteDeck needs special permissions:

  1. Open System Preferences/Settings

  2. Go to Privacy & Security

  3. Check Accessibility section:

    • Look for MuteDeck in the list
    • If not there, click "+" and add /Applications/MuteDeck/MuteDeck.app
    • Ensure the checkbox is checked
  4. Check Automation section:

    • Look for MuteDeck in the list
    • If not there, click "+" and add MuteDeck.app
    • Ensure the checkbox is checked
Permission Reset

These permissions may reset when you update macOS or MuteDeck. Simply re-enable them if MuteDeck stops working after an update.

Yellow Triangle Error

If you see a yellow triangle when pressing a MuteDeck button on your Stream Deck:

  1. Restart Stream Deck software - this usually resolves plugin issues
  2. Check MuteDeck is running - the plugin requires MuteDeck to be active
  3. Reinstall plugin if problem persists

Advanced Troubleshooting

Multiple Call Apps Running

MuteDeck can only detect one active call at a time. If you have multiple meeting apps open, it may not detect the correct one.

Close unused meeting applications:

  • Only run one meeting app at a time when possible
  • MuteDeck detects the most recently active meeting
  • Browser tabs: Close unused meeting tabs

Firewall and Network Issues

Windows Firewall

  • Allow MuteDeck through Windows Defender Firewall
  • Both private and public networks if you use different networks
  • Port 3491: Should be allowed for localhost connections

Corporate Networks

  • VPN interference: Try connecting without VPN
  • Proxy settings: May block localhost connections
  • IT restrictions: Check with IT about allowing MuteDeck

App-Specific Issues

Zoom Issues

  • Multiple Zoom versions: Uninstall unused versions (web vs desktop)
  • Zoom updates: Restart MuteDeck after Zoom updates
  • Meeting controls hidden: Check the "Always show meeting controls" setting

Google Meet Issues

  • Extension not installed: Required for Google Meet
  • Multiple Google accounts: Try using an incognito window
  • Meet updates: Google frequently updates - keep extension updated

Webex Issues

  • Limited support: Cisco actively works against third-party integrations
  • English only: Webex must be set to English
  • Inconsistent functionality: May work intermittently

Teams API Issues

  • Multiple third-party apps: Teams doesn't handle multiple API connections well - remove other integrations
  • API token empty: Generate a new token in Teams settings
  • Connection failed: Restart both Teams and MuteDeck

Checking MuteDeck Status

System Tray/Menu Bar

  • Windows: Look for MuteDeck icon in system tray (notification area)
  • macOS: Look for MuteDeck icon in menu bar
  • Not visible: MuteDeck may not be running

Meeting Detection Status

When MuteDeck detects a meeting, it shows:

  • "Active Call Detected" with app name
  • Meeting controls become available
  • Status indicators show current state

When no meeting is detected:

  • "No Call Detected"
  • System microphone control available as fallback
  • Gray/disabled status for video controls
